Customer Service Associate Purpose of the position This position will be responsible for customer communications, data entry, ordering/receiving supplies, and report preparation/invoicing.
Duties will also include responsibility for all incoming samples, incoming/outgoing supplies, APHIS label distribution and receipt, Soils, Ag, Geotech, and Environmental data entry, organization of the shipping/receiving area, and maintaining client relationships.
Key responsibilities & duties 1.

Answer phones and greet visitors; 2.
Notify company personnel of visitor arrival; 3.
Adheres to all company policies, including safety.
4.
Write and edit documents from letters to reports and instructional documents (SOPs); 5.
Prepare communications, such as memos, emails, invoices, reports, and other correspondence; 6.
Offer general staff support; 7.
Send and receive correspondences from clients and consultants; 8.
Communication with consultants/clients via phone/email; 9.
Order and receive supplies needed for the laboratory; 10.
Preparation of Soil, Ag, Geotech, and Environmental laboratory reports and invoicing; 11.
Filing and paper management, including scanning of worksheets; 12.
Addresses all APHIS label requests and manages packages with APHIS labels when received; 13.
Ensures all client/customer/consultant supplies are kept in stock and ready to ship out when needed; 14.
Data entry for incoming samples; 15.
Receives any added/recheck request and distributes the request to the correct laboratory.

Works closely with the Environmental Laboratory Manager on samples that are going to subcontracting laboratories; 17.
Contributes to team effort by accomplishing related results as needed; 18.
Keeps a safe and clean reception area and desk by complying with procedures, rules, and regulations; 19.
Ships supplies to clients/consultants as well as receive supplies/samples; 20.
Any duty or activity management deems necessary.

Academic & trades qualifications A high school diploma is required.
Work experience & skills Must be able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of clients or employees of the organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to apply common sense understanding to carry out detailed but involved written or oral instructions.
Ability to deal with problems involving a few concrete variables in standardized situations.
To perform this job successfully, an individual should have knowledge of Microsoft Office, including Excel.
While performing the duties of this job, the employee is regularly required to stand, walk, and use hands to finger, handle, feel, talk, or hear.
The employee must frequently reach with hands and arms, stoop, kneel, crouch, or crawl.
The employee is occasionally required to sit and climb or balance.
The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 50 pounds or more.

While performing the duties of this job, the employee is regularly exposed to fumes or airborne particles and toxic or caustic chemicals.
